Open Invoices Guide

The Open Invoices module gives treasury and finance teams a centralized view of outstanding Accounts Receivable (AR) and Accounts Payable (AP) invoices. Monitor what's owed to you (AR), what you owe (AP), and power more accurate cash flow forecasts

101: Intro to Open Invoices

The Open Invoices module displays your open AR and AP invoices ingested directly from your ERP system. It provides a detailed, filterable table view of every outstanding invoice, including vendor or customer name, invoice number, invoice date, payment terms, due date, days outstanding, adjusted due date, and invoice amount.

You can toggle between two views:

  • Accounts Receivable — invoices owed to your company

  • Accounts Payable — invoices your company owes to vendors

Use the Search bar to filter by provider, customer, or vendor name (e.g., Netsuite, Sage), and apply date range filters to narrow results by invoice or due date. The Invoice Filters panel also lets you filter by Invoice Provider, Customer/Vendor, and Invoice Type.


Supported ERP Integrations

Trovata currently supports ingesting open invoices via API from the following ERP systems:

Before seeing Open Invoice data in your instance, you must first establish the API connection between your ERP and Trovata. This is done through the Developer section of Trovata (found at the bottom of the left-hand navigation). The connection requires generating API credentials from within your ERP and submitting them to Trovata. The specific steps vary by ERP, so refer to the relevant setup guide linked above for your ERP system.


Imported Invoice Data

Trovata ingests the following fields for each open invoice:

Customer / Vendor

The name of the customer (AR) or vendor (AP) associated with the invoice

Invoice Number

The unique invoice identifier from your ERP

Invoice Date

The date the invoice was issued

Payment Terms

The agreed payment terms (e.g., Net 30, Net 60, 1% 10 Net 30)

Due Date

The original due date of the invoice

Days Outstanding

The number of days the invoice has been open past its due date

Adjusted Due Date

A manually adjusted due date used for forecasting purposes

Amount

The invoice amount in its original currency

Amount (USD Equivalent)

The invoice amount converted to USD


Frequently Asked Questions

Q: Do I need to be a developer to set this up?

A: The initial ERP connection requires generating API credentials from within your ERP system and submitting them to Trovata. Your IT or ERP admin team will typically handle the NetSuite, Sage, or Oracle Fusion configuration steps. Once credentials are submitted to Trovata, our team completes the backend setup.

Q: Is there a cost to connect my ERP?

A: Reach out to your Trovata CSM for information on ERP connectivity as part of your plan.

Q: How often is invoice data refreshed?

A: This data is refreshed every 24 hours on a prior day basis.

Q: Can I filter invoices by vendor or date range?

A: Yes. Use the Search bar to look up specific customers or vendors, apply From/To date filters, and use the Invoice Filters panel to narrow by provider, customer/vendor, and invoice type.

Q: Where do open invoices feed into forecasting?

A: Once ingested, AR and AP invoice data can be used to create Invoice Streams within the Data Streams module, and subsequently integrated into the Forecasts module, where it contributes to your projected cash inflows and outflows alongside your other data streams.
